Privacy Policy

This policy covers Adam Bahou, doing business as Ventana ("we", "us") — a home heating, cooling and land-clearing contractor operating in Massachusetts, MA HIC #219685. It applies to this website, to the quote forms we run on Facebook and Instagram, and to the calls, texts and emails we send about a request you made. What we collect

Only what you type into one of our forms, plus the fact of the submission itself:

Your name, phone number and — if you give one — your email address.
Your town or service address, so we know whether the job is in our service area.
Your answers to the questions on the form: the work you need, the age and type of your current system, your timing, and anything you wrote in a message box.
The date of your submission and which advertisement or page it came from, so we can tell which of our ads are worth paying for.
Whether you agreed to receive text messages, which agreement wording you were shown, and when — see below.

We do not collect anything you did not enter. We do not buy contact lists, and we do not append data about you from outside sources.

Why we use it

To contact you about the service you asked about, to prepare and send a quote, to schedule and confirm an appointment, and to keep an ordinary business record of the job. If you separately agreed to it, we also send occasional offers and seasonal reminders. We do not use your information to build advertising profiles, and we do not use it for anything unrelated to the enquiry you made.

Text messaging and your mobile number

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

When you ask us for a quote, we may call or text you about that request at the number you gave us. Messages about your own job — confirming an appointment, telling you a technician is on the way, following up on an estimate — are part of the service you asked for.

Promotional texts are separate. We send those only to people who ticked the optional box asking for them, and never as a condition of getting a quote or hiring us. Ticking that box is not required to do business with us, and declining it changes nothing about the work or the price.

Message frequency varies with your job. Message and data rates may apply. Reply STOP to any message to stop all texts, or HELP for help. Opting out is immediate and permanent until you ask us to start again — we record it against your phone number, not against a single job, so it holds even if you contact us again later. We keep a record of the consent itself: the exact wording you were shown, the date and time you agreed, and the form you agreed on. We keep it so that we can show what you actually agreed to if it is ever questioned — including by you.

We do not sell, rent or trade your information to anyone, for any purpose. It is handled by us and by the service providers that run our systems on our behalf, who process it only to deliver those services to us and are not permitted to use it for their own purposes:

Our website and application hosts (Vercel, Railway).
Our database host (Supabase).
Our email provider (Resend) and our text messaging provider (Twilio).
Where you submitted a form inside Facebook or Instagram, Meta also holds a copy of what you submitted, under Meta's own privacy policy.

We will also disclose information where the law requires it. As stated above, text messaging opt-in data and consent are excluded from all sharing.

Advertising and measurement

The quote pages we run Facebook and Instagram ads to — not the main site — carry Meta's advertising pixel. It tells us how many people reached the page and how many submitted the form, so we can tell a working ad from a wasted one. It records the visit and the fact of a submission; it does not receive the answers you typed or your phone number. You can limit this in your Facebook ad settings or by using a browser that blocks trackers. The rest of this website carries no advertising or analytics trackers at all.

How long we keep it

For as long as we need it to answer your enquiry and for our business records, and no longer than 24 months after your last contact with us — unless you became a customer, in which case we keep the job record for as long as the law and our insurers require. Opt-out records are the exception: we keep those indefinitely, because deleting one would mean forgetting that you asked us to stop.

Your choices

You can, at any time and at no cost:

Ask to see the information we hold about you.
Ask us to correct it.
Ask us to delete it.
Ask us to stop contacting you, by any channel or all of them.

Email adam@ventana-home.com and we will action it within 30 days. For texts specifically, replying STOP is faster than emailing and takes effect immediately. Asking for any of this will never affect a quote we have given you or work we are doing for you.

Children

Our services are sold to property owners and decision-makers. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, email us and we will delete it.

Storage and security

Your information is stored in a private database that is not readable from a web browser. Access requires a sign-in, and the parts of our system that hold contact details and job records are restricted to the application server. We are a small company and we treat a leaked customer list as the serious thing it is.

Changes to this policy

If we change this policy we will update the date at the top. A change never applies retroactively to consent you already gave — if we want to use your information in a way you did not agree to, we ask again.
